Job Description

 The individual will be responsible for handling front office reception and administration duties, including welcoming guests, answering phones, handling walk-in member inquiries, sorting and distributing mail.   The officer will act as a first-level liaison; provide product/services information to resolve any emerging problems that clients might face with accuracy and efficiency.  He/She will act as an interface between the Members and the Sacco by attending to their queries and handling all Customer Complaints  

 

Responsibilities

  • Preliminary checks the documents were taken in her responsibility – for accuracy, annexes, signatures, payment terms, etc.  ensuring compliance with processes/requirements 
  • Continuously explore alternatives to improve service delivery 
  • Act as the point of contact between walk-in members’ inquiries & back office before any escalation. 
  • Oversee SACCO’s email and respond within the agreed turnaround time. 
  • Build customers sustainable relationships of trust through open and interactive communication 
  • Attempt to persuade a customer to reconsider exit from the SACCO 
  • Inform customer of deals and promotions 
  • Supervise out-sourced service providers to ensure quality delivery 
  • Keep records of customer interactions, process customer accounts, and documents 
  • From time to time propose improvements to the Sacco’s Customer Experience Cycle 
  • Weekly reports on all client interaction platforms 
  • Support the Team and CEO in all administrative duties 

 

Skills and Qualifications

  • Diploma/Bachelor’s degree in a business-related field.
  • 3 years’ experience in Front Office Operations.
