Job Description

The role involves ensuring effective IDF Applications Processing, zero errors customs entries, proper data entry into the ICMS, Kentrade and Simba system, provide administrative and Departmental Support e.g. advising clients, Client Services team on Tax estimates as per the KPIs and ensure customer queries and disputes is handled effectively.

 

Responsibilities

  • Receive and analyze proforma invoices from client/customer service and ensure all documents meet requirements for IDF application.
  • Apply IDF by inputting appropriate Hs codes and details in the ICMS system.
  • Follow up for approval of IDF with KRA.
  • Send approved copies of IDFs to customer service/client.
  • Amend IDFs as advised by clients as per the laid down customs procedures
  • Apply for the relevant permit with the relevant government agency as may be required.
  • Prepare customs entries with zero free errors.
  • Ensure correct HS code is used during entry declaration to avoid penalties from KRA.
  • Ensure taxes payable are correctly captured in the system.
  • Follow up with finance team/Customer service to make sure taxes are paid on time.
  • Monitor entries once taxes are paid and apply for relevant permits/CDs and share the same with the Field operations Team to enable timely release of consignments with KRA.
  • Regularly advise clients on tax matters and prepare tax estimates for clients/customer service and pricing departments.
  • Liaise with industry stakeholders like Ken Trade, KRA, KEPHIS, etc. in order to coordinate procedures/processes.
  • Collect or receive Proforma/Commercial Invoice and packing list from the Client Service Department/clients.
  • Scrutinize and ensure the documents are correctly captured for IDF application i.e. total value, currency, importer /exporter address, email, contact person
  • Provide advice to clients on the required permits and processes to establish and process the required permits as required. 
    -Effectively respond to KenTrade, OGA, and all customers regarding issues arising from the IDF applications under process.
  • Promptly hand over files to the Client Services team for shipment movement follow-up.
  • Ensure processed and approved IDFs and permits if any are dispatched to the clients or respective Client Service team for pre-shipment inspection.                  Regularly and promptly provide advice to Clients, Client Services team on Tax estimates as per the KPIs.
  • Ensure the Customs entries are captured accurately into ICMS/Simba system with Zero errors and within agreed service levels and timely.
  • Follow up and ensure taxes have been promptly paid, I.e. our account customers.
  • Ensure KEBS CD is applied immediately once taxes have been acknowledged at the KRA account.
  • Effectively handle customer queries and disputes and proactively follow through to resolution.
  • Implement and Maintain a professional working relationship with internal and external customers and internal stakeholders.
  • Ensure departmental and individual objectives are achieved.
  • Any other duty as may be assigned.

 

Skills and Qualifications

  • Diploma in clearing and forwarding
  • Excellent knowledge of KENTRADE, TRADEX, and ICMS online systems
  • 3+ years experience in a similar role.
  • Excellent understanding of International Trade, Compliance, and Customs regulations.
  • Previous experience in working alongside international government agencies.
  • Excellent knowledge of export and import controls is essential for this role.
  • AEO application experience would be beneficial for this role.
  • Hands-on working knowledge of licensing and customs documentation requirements for international trade and Kenya import/export logistics.
  • Certificate/ Diploma – KESRA
  • Familiar with customs clearance process and related HS code assignments skills.
  • Solid knowledge and understanding of customs rules and regulations, strong experience in customs import declaration.
